Suzuki are among the worlds dozen top car makers. Worldwide, Suzuki sells nearly 1.8 million vehicles a year, surpassing the sales of such renowned marques as BMW, Mercedes and Saab.

Purchase Invoices are scanned at Suzuki’s Head Office, then allocated to the appropriate ’authoriser’. An e-mail is automatically generated and sent to the User to let them know that invoices are in need of approval, the invoices are then retrieved via a web based interface.

If the invoice is approved then depending on its value it either moves to the next level of approval or the process is ended. If the invoice is not approved, the User can decide to dispute the invoice and choose a reason why. Rules can easily be built into the system dependent on a number of different criteria such as invoice value, cost centre or authoriser level.

Prior to implementing this solution the invoice approval process was a labour intensive manual process where copies of invoices were sent out to the appropriate authoriser. These copies were often lost or delayed which led to late payment of invoices. Automating this process has meant that invoices are now dealt with faster and in a much more controlled and efficient way.
